The deal, up front.

1Organizer accounts

• You need an organizer account to run an event. Give us accurate details and keep them up to date. You log in with your email and password.
• Keep your password private. You're responsible for what happens under your account, including anything done by team members you add.
• Whoever creates an event is its owner. The owner can add and remove team members, who can use that event's dashboard.
• Your event link (eventroladex.com/your-event) is yours while your account is in good standing. Some links are reserved or held, and we may reclaim a link that impersonates another event or brand.
• You must be at least 18 and have authority to act for the organization running the event.

2Flat per-event pricing

You pay one flat price per event, based on expected attendance. There are no per-ticket or per-attendee fees.

• "Per event" means one conference, including all of its days, held in one run. A repeat of the event next year is a new event.
• If your attendance grows past your tier, we'll ask you to move to the tier that fits. We won't cut anyone off mid-event.
• Add-ons (sponsored profiles, track pricing, rush launch, multi-event discount) are priced as shown on our pricing page or in your written quote.
• Prices don't include taxes, which are added where required.

3Payment terms

• We invoice when you confirm your tier. Payment is due in full before your event's link goes live to attendees, and no later than 14 days before your event's first day.
• Rush launches (less than 3 weeks before the event) are due in full when booked.
• If payment is late, we may pause your event's app until it's paid.
• Cancellations: cancel before setup starts for a full refund. Once setup has started, half the fee is refundable until your link goes live. After your link goes live to attendees, fees are non-refundable.
• If your event is postponed, your fee moves to the new dates once, at no charge, if they're within 12 months.

4Founding partner pricing

Founding partners get 40% off any tier. There are three founding spots for 2027 events.

• The discount applies to one event held in 2027 and to that event's tier price (not add-ons), unless we agree otherwise in writing.
• In return, you let us use your event's name and logo as a customer, give us a short testimonial, and let us share your event's results. Results are shared as totals (like matches, coffees booked and attendees) and never identify an attendee.
• Spots are confirmed in writing, first come, first served. It can't be combined with other discounts unless we say so in writing.
• The other payment terms above still apply.

5Acceptable use

Event Rolodex is for business networking only. It is not a dating app.

Everyone using Event Rolodex agrees not to:

• Harass, threaten, stalk, demean or send unwanted romantic or sexual messages to anyone.
• Discriminate against anyone, or post hateful, violent, sexual or illegal content.
• Impersonate someone, make fake profiles, or misrepresent who you are or who you work for.
• Spam people, scrape or export other people's profiles, or use attendee data for marketing lists without their consent.
• Break the app, get around its privacy settings or blocks, or access accounts or events that aren't yours.

We or the organizer may remove anyone who breaks these rules from an event, and we may close their account.

6Organizers are responsible for their attendees

• You decide who gets your event's link, and you're responsible for the people you invite and for running your event.
• You'll have a code of conduct for your event, review safety reports in your dashboard promptly, and remove people who break the rules.
• You'll only use attendee data you see in the dashboard to run your event, and follow the privacy laws that apply to you.
• You have the rights to any logos, photos and text you upload, including sponsor and vendor materials.
• What happens in person at your event, including meetups arranged through the app, is between the people involved and you as the organizer.

7Your content

You keep ownership of what you upload: your branding, your program, your profile and photos. You give us permission to host and show it in the app, only to the people it's meant for, so we can run the service. Our privacy policy explains the rest: eventroladex.com/privacy.

Event Rolodex, its design and its software belong to us.

8Limitation of liability

• We work hard to keep Event Rolodex running, but it's provided "as is". We don't promise it will be uninterrupted or error-free, or that any attendee will get a particular result, match or business outcome.
• We aren't responsible for what attendees, vendors or organizers say or do, online or in person.
• To the fullest extent the law allows, we aren't liable for indirect, incidental, special or consequential losses, such as lost profits, revenue, data or goodwill.
• To the fullest extent the law allows, our total liability for any claim about Event Rolodex is limited to the amount you paid us for the event the claim is about, in the 12 months before the claim.
• Some places don't allow these limits, so they apply only as far as the law allows.

9Ending and changes

• You can close your account any time by emailing us. Fees already due are still due.
• We may suspend or close accounts that break these terms or put others at risk.
• If we change these terms in a way that matters, we'll update the date at the top and email organizers. Using Event Rolodex after that means you accept the new terms.
